Privacy Policy for RSFinance

This Privacy Policy explains how JMD Solution ("we", "us", "our") collects, uses, stores, and protects information in connection with the RSFinance mobile application (the "App"). RSFinance is a private business tool that lets authorized staff of our organization view accounting and inventory information synced from our own Tally accounting software.

By using the App, you agree to the practices described in this policy. If you do not agree, please do not use the App.

1. Who this App is for

RSFinance is an internal business application. Accounts are created and provided by our organization to its owners, managers, and sales staff. It is not a consumer product and is not intended for use by the general public or by children.

2. Information we collect

We process different types of information to ensure the App functions as intended:

  • a. Account and authentication information.
    When an account is created for you, we process your login identifier (email or username), an encrypted password, and your assigned role (for example, administrator or sales). We use this solely to authenticate you and to control which information you are allowed to see.
  • b. Business accounting data.
    The App displays accounting and inventory data that our organization syncs from its own Tally software, including sales, purchases, inventory/stock, customer (debtor) ledgers and outstanding balances, supplier ledgers, credit limits, and profit-and-loss figures. This data belongs to our organization and may include the names and balances of business customers and suppliers. The App is a viewer for this data; it does not collect this information from you.
  • c. Assistant (chat) queries.
    When you use the in-app Assistant, the text of the question you type is processed to generate a report. Your recent chat history is retained for 7 days and then automatically deleted.
  • d. Diagnostic and technical data.
    We may process limited technical information needed to operate and secure the service, such as authentication tokens, timestamps, and error/diagnostic logs. We do not use third-party advertising or analytics SDKs, and we do not track you across other apps or websites.

3. How we use information

We use the information described above only to:

  • authenticate you and enforce role-based access to data;
  • display the accounting, inventory, and outstanding reports you request;
  • answer your questions through the Assistant;
  • operate, secure, troubleshoot, and improve the App; and
  • comply with applicable legal obligations.
No Commercial Exploitation

We do not sell your information, and we do not use it for advertising.

4. The Assistant and third-party processing

The Assistant uses a third-party large-language-model provider, OpenAI, to turn your typed question into a database query.

Important Privacy Guardrails

Only the text of your question and a fixed description of our database's structure (table and column names) are sent to OpenAI. Your actual financial figures, customer data, balances, and reports are not sent to OpenAI. The query is generated, then run on our own servers, and only the result is shown to you. OpenAI processes the question text under its own terms and does not use API data sent to it to train its models.

Aside from this, we share information only with infrastructure providers that host our servers, strictly to operate the service, and where required by law.

5. Where data is stored and how it is protected

Accounting data and account records are stored in our database on secured cloud server infrastructure. We apply technical and organizational safeguards including:

  • Encrypted passwords
  • Authenticated (token-based) access controls
  • Role-based access restrictions
  • Encrypted connections (HTTPS/TLS)
  • Read-only handling of report queries

No method of transmission or storage is completely secure, but we work to protect your information using industry-standard measures.

6. Data retention

  • Account records are retained for as long as your account is active.
  • Assistant chat history is retained for 7 days and then deleted automatically.
  • Accounting data is retained for as long as our organization keeps it in its accounting system, in line with our record-keeping and legal obligations.

7. Your choices and rights

Because accounts are issued and managed by our organization, requests to access, correct, or delete your account or data should be directed to your administrator or to the contact below. Subject to applicable law, you may request access to, correction of, or deletion of your personal account information. To deactivate your account, contact us at the address below.

8. Children's privacy

The App is intended for authorized business users only and is not directed to children under the age of 16. We do not knowingly collect personal information from children.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will revise the "Last updated" date above and, where appropriate, notify users within the App. Continued use of the App after changes take effect constitutes acceptance of the updated policy.
